Every month-end, Primus’s project finance team rebuilt the same portfolio report by hand. Cost data lived in Procore, financials in Sage 300 CRE and Viewpoint Vista, and the report combining them took two analysts two full days to produce — every month.
Worse, the numbers were stale by the time the report shipped. Pay applications approved in the field on the 28th wouldn’t show up in the report distributed on the 5th. Project managers got data they couldn’t act on; executives got data they didn’t trust.
Three earlier integration attempts had failed. A custom ETL job broke whenever Sage was patched. A Power BI direct-query setup couldn’t handle the join volume. An RPA bot kept losing the schedule of values when a new field was added.
Aquifer connected Procore, Sage 300 CRE, and Viewpoint Vista at the cost-code and commitment level. Pay applications now flow from Procore into Sage automatically, matched against the right commitment. Cost-to-date stays in lockstep across both systems.
Analytics replicates the joined data into Snowflake, where the existing Power BI portfolio dashboards now refresh from a clean, governed model — instead of from manual exports.
The first sync went live in three weeks. The full multi-company rollout finished in eight.
The two analysts who used to spend the first two days of every month rebuilding the report now spend that time on actual financial analysis. Pay app reconciliation moved from 14-day cycles to overnight. The portfolio dashboard finally reflects the same numbers that the field is working from.
Six months in, the report nobody wants to build is the report nobody has to.
